Privacy Policy

The short version

TAW is a volunteer-run nonprofit gaming community. We use your information to run your account, organise games and events, keep the community safe, and provide the features you ask for.

We do not sell your personal information.
We do not use your information for targeted advertising.
You can ask what we hold, ask us to fix it, or ask us to delete it where the law allows.
Real volunteers handle privacy requests, so please be clear and give us a little time.

Who is responsible?

The Art of Warfare, Inc., also known as TAW, Inc., is responsible for the personal information described on this page. TAW is an international, volunteer-run nonprofit community focused on structured gaming, friendship, fair play, and cooperation.

What information do we keep?

Account and profile Callsign, name or display name, email, avatar, password security data, country or time-zone preferences, roles, units, ranks, and positions.

Membership Applications, onboarding, attendance, training, awards, commendations, leave or discharge history, and volunteer administration notes.

Community activity Forum and blog posts, wiki edits, polls, quiz attempts, conversations, event responses, uploaded files, reports, and moderation actions.

Technical and safety data Login sessions, browser or device information, IP addresses, timestamps, error logs, and security records needed to operate and protect the service.

Connected services Discord or TeamSpeak identifiers and related account status when you link or use those services with TAW.

Donations Donation destination, amount, currency, and transaction information we receive. PayPal processes the payment; TAW does not receive your full card details.

Most of this comes from you. Some comes from normal site activity, other TAW members or administrators, and services you choose to connect.

Why do we use it?

To provide your membership: accounts, applications, units, events, training, communications, and other community features.
To run the community: scheduling, records, volunteer administration, recognition, and support.
To keep TAW safe: authentication, moderation, abuse prevention, investigations, backups, and service reliability.
When you choose: linking Discord, submitting optional profile information, or using another optional feature.
When the law requires it: accounting, legal claims, valid official requests, or other legal obligations.

In GDPR terms, our legal reasons are providing the service you asked to join, TAW's legitimate interests in running and protecting the community, your consent where we specifically ask for it, and legal obligations. You can withdraw consent at any time, but that does not undo processing that was already lawful.

Who can see it?

Other members can see information meant for the community, such as your callsign, unit, role, posts, event activity, and profile details.
Authorised TAW volunteers can access information needed for their role. Access should be limited to what they need.
Hosting, infrastructure, email, communications, security, and backup providers may process information for us.
Discord, TeamSpeak, and PayPal receive information when you choose to use their services. Their own privacy policies also apply.
We may disclose information when legally required or when reasonably necessary to protect people, TAW, or the service.

TAW is based in the United States and has volunteers and members around the world. Your information may be processed outside your country, including outside the UK or European Economic Area. Where data-protection law requires safeguards for a transfer, we will use appropriate safeguards.

How long do we keep it?

We keep account and membership information while you are active. After you leave, we keep only what is reasonably needed for community history, safety, dispute handling, accounting, or legal obligations. Operational logs and backups are kept on limited rotating schedules. Public contributions may remain as part of a discussion or shared history, but we can remove or anonymise personal details where appropriate.

We review information when systems or community processes change and delete or anonymise it when there is no longer a good reason to keep it. Some records cannot be deleted immediately when the law or another person's rights require us to retain them.

Your GDPR rights

Depending on where you live and the situation, you can ask us to:

See the information we hold about you. Correct information that is wrong or incomplete. Delete information when there is no valid reason to keep it. Restrict how information is used in certain cases. Receive eligible information in a usable, machine-readable format. Object to certain uses based on legitimate interests. Withdraw consent for optional processing.

TAW does not use personal information to make decisions with legal or similarly serious effects using only automated systems. We may ask you to confirm your identity before giving out or changing account data. We normally respond to GDPR requests within one month, although complex requests may legally take longer.

You may also complain to the data-protection authority where you live or work. The European Data Protection Board lists EU/EEA authorities .

Cookies and browser storage

The site uses cookies or browser storage that are necessary for sign-in, security, preferences, and keeping the live site connection working. We do not use them to build advertising profiles. Clearing browser data may sign you out or reset your preferences.

How to contact us

For privacy or personal-data requests, email support@taw.net. Please include enough information for us to find your account, but do not send passwords, authentication tokens, or unnecessary identity documents.

TAW is run by volunteers, not a legal department. We will still take privacy requests seriously, explain what we can do, and be honest when a legal or technical reason limits a request.

Changes to this policy

We may update this page when the site, our services, or privacy rules change. We will update the date at the top and give members a clearer notice if a change materially affects how their information is used.
